How To Improve Your Office Cleaning Checklist In 3 Easy Steps
COVID has changed things.
There’s no room for half-measures. Nothing less than 100% will do to keep our employees and their families safe.
So, without further ado, let’s take the next step in coming back stronger together.
Paper Could Spread Germs Like Sars-Cov-2
The latest study showed that paper could harbour the coronavirus for up to 5 days (far more than the 24 hours we believed to be true earlier). Which is why it’s wise to consider a paperless solution, as explained in our previous article.
Given the fact that so many businesses are looking for a paperless solution, we’ve decided to detail exactly how to get your cleaning checklist digitised.
Three easy steps are all it takes.
Step 1: Assess Your Current Cleaning Checklist
Let’s take a good look at your current office cleaning checklist. Is it good enough to stop all germs from spreading? Does it make special mention of each item in a room?
For example, if you don’t expressly list taps, hand dryer, door handles, etc., you leave room for slip-ups. This could land you in hot water when the audits come around.
So it’s time to give that old checklist a good overhaul. An in-depth, pre-emptive audit is highly recommended. And if you need some help, the CDC has a great guide here.
Once you’re sure it’s 100% capable of dealing with any germs, the fun starts.
Step 2: Create Your Paperless Mobile Form
There are various software options available for this step. Each one will have its own workflow and forms capabilities. In Appenate’s case, our world-class support team will help you get your first cleaning checklist online.
There are two ways to do this in Appenate.
The first is to use a Data Source (like a spreadsheet) with all your list items, and link that to your form using our Connectors feature. The second is to create a multiple-choice field for each room in your building, with the relevant items listed out with checkboxes.
Our support team can do either in their sleep and will be happy to help you out. So after signup, simply indicate to us that you’d like to book a session with customer support for this. Here’s an idea of a basic pre-made office cleaning checklist on Appenate:
After creating your list, you’ll be able to move on to the next step – and start fighting COVID with your beefed-up, remote-captured cleaning checklist.
Pro tip: Remember to add a step for your cleaners to wipe down their device with disinfectant, to make sure no germs hitch a ride to the next area.
Step 3: Download & Destroy Germs
The final step (on Appenate) is to create a user account for each of your cleaners or employees. Once they have their user accounts up, they can download Appenate on their devices.
Then it’s as simple as opening the app and tapping on the checklist – and cleaning begins.
As they clean, they check off items and, in the end, they’ll add their signature into the space provided.
When they submit the form, the captured info comes back to the desktop application. From here, you can use Connectors like Google sheets to pull reports on the data entered (again, our support team can help you here).
So now you’ve got an efficient checklist and a place to capture all this information. You can do easy audits on your cleaners from here on out.
No more storing dirty papers in dusty files – that are soon forgotten about or end up in the boiler anyway.

Above are just the first steps to going paperless. As mentioned in last week’s article, you can apply this same method to any aspect of your business.
